Classified Time Sheets


Use these time sheets for recording hours to be entered into the HRS system.

Excel 2003 Technical Note for Non-Exempt Permanent/Project and LTE Time Sheets

These time sheets use an excel function that may not be activated on your computer in Excel 2003.
If the spreadsheet doesn't correctly calculate your daily hours, do the following:

  • Open Excel
  • Click on "Tools" in the toolbar
  • In the drop down list, click on "Add-Ins..."
  • Make sure that "Analysis ToolPak" and "Analysis ToolPak - VBA" are both checked
  • click "OK"


Time Sheet Instructions and Procedures

  • Time Sheet Completion Information for Permanent/Project Employees

  • All classified permanent/project, LTE and student hourly employees are paid on a biweekly basis
    regardless of which timesheet (weekly or biweekly) is used.

  • The Rounding Table is included at the bottom of each time sheet.

  • Exempt employees should report their time worked and leave taken in 15-minute intervals.

  • LTEs and non-exempt permanent/project employees should report their EXACT hours worked.

    • Do NOT round hours in the Begin, End or lunch hour boxes. The time sheet will round every In and Out punch to the nearest 15-minute interval when it calculates total hours for the day. Even though this will not be reflected in the In and Out boxes, it will be reflected in the total hours worked each day.

    • Leave taken should be reported in 15-minute intervals.

  • Using the weekly version vs the biweekly version
    If you would like to perform weekly data entry of your LTE and classified employees' time sheets, have the employee and supervisor verify and sign hours worked and leave taken after each week on the weekly version of the appropriate time sheet. If you prefer biweekly data entry, use the biweekly version of the appropriate time sheet. Remember that employees and supervisors cannot sign time sheets prior to the last day worked as time sheets are a verification of hours worked and approval of leave time taken.

  • In HRS, there is a time sheet form that can be printed for employee use.
    The HRS time sheet is populated with each individual employee’s schedule as it has been loaded to HRS. This time sheet does NOT allow you to enter data electronically, so all data must be handwritten on the printed form. All of the automatic daily rounding to quarter hours and weekly totaling will NOT be done for you.
