Recruitment of Classified Permanent Positions
Recruitment Process(Part 1)
Definition of Permanent Positions
Office Support Vacancies
- Enter the position into the CHRIS system for HR approval
- If represented position, possible contractual posting
- Position is posted for permissive transfers and open recruitment
- Advertising may be required (HR will notify department)
- Applicants will apply directly online
- After the deadlilne date, a list of qualified applicants will be sent to the department electronically
- If available, resumes of applicants and permissive transfers may be picked up in the HR office.
- Proceed to Part 2
Financial Specialist Vacancies
- Enter the position into the CHRIS system for HR approval
- If represented position, possible contractual posting
- After contractual posting, and interested parties are contacted, if no hire is made move on to step 4
- Department does a High Importance Job Content (HIJC) rating on the Position Description.
- HR will develop an OIQ exam working from the department's HIJC'd PD ratings that has been faxed to HR
- Position may be posted for permissive transfers and open recruitment
- Advertising may be required (HR will notify department)
- Applicants will apply and take the exam online
- Transfers will send a resume
- After the deadline date a list of qualified applicants will be sent to the department electronically
- If available, resumes of applicants and permissive transfers may be picked up in the HR office.
- Proceed to Part 2
Positions with Exams (other than Financial Specialists)
- Enter the position into the CHRIS system for HR approval
- If represented position, possible contractual posting
- After contractual posting, and interested parties are contacted, if no hire is made move on to step 4
- Department does a High Importance Job Content (HIJC) rating on the Position Description before it is posted for open recruitment.
- Department works with HR to develop an exam from the HIJC'd Position Description.
- Position may be posted for permissive transfers and open recruitment
- Advertising may be required (HR will notify department)
- After the deadline date, exams are scored and results tabulated.
- A list of qualified applicants is emailed to department.
- Resumes of applicants and permissive transfers may be picked up in HR .
- Proceed to Part 2
Recruitment Process (Part 2)
- Recruitment letter (guidelines) is created by the Department and approved by CALS HR.
- After recruitment letter (sample) is approved, it is sent out (by the department) to all of the potential applicants on the register. All potential applicants must be contacted - an answering machine message does not qualify as a contact made.
- Block out time in schedules of interviewer(s) for the interviews and set up interviews as they respond.
- Potential applicants that respond by the date specified in the letter, are offered an interview.
- Permissive transfers may be interviewed any time during the recruitment phase and are not required to take an exam. However, permissive transfers are interviewed at the discretion of the department, and not required.
Interviewing and Reviewing Applicant
Initial Hire
- Send Appointment Letter to individual selected- Completed by Human Resources, copy to department.
- ROAs must be completed before appointment letter is generated
- Send Letter of rejection to individuals not selected
- Complete the following forms and returned to HR after hire is made:
