Administrative Checklist for Faculty
Interviews and Offers
- Funding : CALS will contribute up to $1500 for interview expenses of each of three approved candidates for faculty positions.
- Approval : The Executive Associate Dean will review requests for funding support for candidate interviews. Please send him four copies of a file containing the CV and letters of recommendation.
- Confirmation of Approval : Dean's office will send the department confirmation of the approved interviews. Note that the department will need to process the interview expense approval form for the candidates through the Executive Associate Dean.
- Information packets for the interviewees are available from the Dean's Office. These packets contain information about UW-Madison, CALS and Madison. They are not required, however many candidates and departments have found these packets very helpful and informative. They can be sent to the candidate prior to the interview, or given to the candidate at the time of the interview. If your department would like copies of the packets, please contact the office of the Executive Associate Dean.
- Interview Schedule : When the candidates are on campus for interviews, please schedule 30 minute interviews for each candidate with Dean Aberle, to be followed by a 30 minute meeting with the appropriate Associate Deans. Call Janis or Bonnie (2-9812) to schedule the interviews.
- Selection of final candidate : Selection of the final candidate must be approved by Dean Aberle or the Executive Associate Dean.
- Negotiation of start up package : The Executive Associate Dean is the contact for negotiation and approval of the start up package.
- Spousal hire : The Executive Associate Dean is the primary contact for negotiation of a spousal hire. Please contact him as soon as you learn that a spousal hire may be needed.
- Letter of offer : The Department drafts the letter of offer. Copies of recent letters of offer can be obtained from the the Dean's Office. Guidelines for writing the letters can be found in the UW-Madison Search Handbook, Ch. 5.
Obtain approval of Dean and Executive Associate Dean for final candidate and terms of offer. Draft letter must be reviewed and approved by Executive Associate Dean. Letter of offer must be signed by Dean or Executive Associate Dean.
- Signatures : The Executive Associate Dean and/or the Associate Dean for Administration must review the letter of offer. Forward two original letters of offer and an electronic copy of the letter of offer to the Dean's Office. The letters must be signed by Dean Aberle (or the Executive Associate Dean) and the Department Chair.
