Probationary Faculty Renewal and Tenure Recommendation Procedures



UW-Madison procedures for renewal of probationary faculty appointments and tenure recommendations are found in the Faculty Policies and Procedures, Chapter 7 .

  1. Contract Renewal Review and Recommendation.

  2. During the beginning of the semester preceding the contract renewal the department should notify the probationary faculty member and the Dean of CALS (c/o the Executive Associate Dean) that the review will take place in the following semester. Each fall, the Dean will set an anticipated deadline for submission of renewal recommendations and will notify the departments of the date in writing.

    If the department recommends nonrenewal of the contract the department chair should orally inform the Dean of the decision and the reasons for the decision. Recommendations for renewal of the contract should be forwarded to the Dean (c/o the Executive Associate Dean).

  3. Tenure Review and Recommendation

  4. During the beginning of the semester preceding the tenure review, the department should notify the probationary faculty member and the Dean of CALS (c/o the Executive Associate Dean) that a tenure review will take place in the following semester. Each fall, the Dean will set an anticipated deadline for submission of tenure review dossiers and will notify the departments of the date in writing.

    Department Executive Committees are responsible for the accurate and complete preparation of the tenure review dossier, according to the requirements of the FPP and the appropriate Divisional Executive Committee.

    If the department does not recommend tenure, the department chair should orally inform the Dean of the decision and the reasons for the decision.

    Positive recommendations for tenure should be forwarded to the Dean (c/o the Executive Associate Dean) according to the advertised deadline. They must include:

    1. Four copies of the complete dossier;
    2. Designation of the appropriate Divisional Committee;
    3. Cover memo requesting the Dean to consider the recommendation and seek the advice of the designated Divisional Executive Committee.
    4. Four copies of the Departmental Criteria/Procedures for tenure and a statement showing how the criteria were applied to the candidate.

    Allow at least five working days for the Dean's office to review the packet for completeness and to prepare a cover memo to send to the Divisional Executive Committee. The packet will be reviewed by the appropriate program associate deans and the dean. It is possible that the deans may request the department to add additional information to the packet prior to forwarding to the Divisional Executive Committee.

    After review and if the packet is complete, the Dean's office will provide to the department an original of the cover memo to the Divisional Executive Committee. The Department is responsible for the copying and delivery of the required number of complete dossiers to the appropriate Divisional Executive Committee.

    The Dean will notify the Department and the candidate of his decision in a timely manner, according to the requirements of the FPP.
